Businesses invest heavily in firewalls, security systems, and cyber defense solutions to defend their networks from external threats. However, experts believe that many organizations are disregarding a big risk that exists within the workplace.

With the implementation of India's Digital Personal Data Protection Act, 2023 (DPDPA), businesses now face significant legal duties to secure personal data. Organizations who fail to protect personal information may face penalties of up to ₹250 crore. This emphasizes the importance of data protection and DPDPA compliance for Indian enterprises.

While businesses focus on preventing external cyberattacks, another issue is silently emerging within offices. Many employees are increasingly employing AI chatbots and large language models to assist with daily activities like email writing, document analysis, and software code debugging.

In many cases, employees unintentionally enter sensitive company data or customer information into external AI tools to make their tasks simpler. Although these actions are not intended to be damaging, they can result in serious data protection violations under the DPDPA.

When sensitive data is exchanged with external AI platforms, it frequently escapes the company's secure environment. This means that the organisation loses control over how the data is stored, used, and processed.

According to the Digital Personal Data Protection Act, companies are responsible for ensuring that personal data is always secure. If client information is exchanged with unauthorised third-party systems, it may constitute a personal data breach. In such situations, organisations may be bound to disclose the occurrence to the Data Protection Board of India and notify any affected users.

Failure to comply with DPDPA standards can result in severe penalties, legal action, and a loss of customer trust. Companies may also face issues with confidentiality agreements and intellectual property protection if sensitive data is revealed. This risk increases for big companies with thousands of employees, because even small amounts of misuse might disclose a significant amount of data.

Experts suggest that organisations should take both technical and cultural steps to prevent such risks. Companies can introduce enterprise AI tools with secure data policies, monitoring systems to detect data leaks and employee training on data protection and privacy rules. Instead of banning AI tools completely, businesses should educate employees about safe and responsible usage.

As AI tools become more common in workplaces, companies must strengthen their data security practices and DPDPA compliance strategies. Protecting personal data, intellectual property, and customer information is now not just a technical issue but also a legal responsibility. Organisations that build strong privacy awareness and proper safeguards will be better prepared to avoid costly data breaches and regulatory penalties in the future.
